Customize vitals specifically for your organization to help reps capture the right information at the right time. Vitals will trigger warning signals when your deal or account information quality is below a customized threshold that YOU get to decide.

  • Customer Success Managers gain deeper insights into account health.

How to customize deal + account vitals

⚡️ Premier feature: Customizable vitals for opportunities and accounts is part of our Premier plan

  1. Click on your enablement folder in the left hand navigation panel

  2. Select Vitals

  3. Customize your default deal and account Vitals

    • Stage: select the opportunity stages you'd like to be included – when a deal is in one of these stages, the deal vitals will show in pipeline and on deal overviews

    • Thresholds: set the number of vitals needed for each threshold

    • Indicators: select and customize the fields to drive your deal vitals

  4. Add new deal and account vitals

    • Check out the "How do I configure my advanced vital indicators" in the FAQ below!

  5. Under Preview a deal, select an opportunity or account to get a preview of deal vitals in action. Make sure you have clicked on the vital you want to preview first!

💡 Pro Tip: Only Dooly admins can customize deal vitals for your organization. If you are not an admin, you will not be able to customize vitals.

FAQs

Who has access to Vitals Configuration?

Vitals Configuration is available for our premier account plan customers, and will automatically become available for Dooly account administrators when they upgrade to premier.

All users not on premier plans will have access to the original deal and account vitals by default.

Where do I access Vitals Configuration?

The vitals configuration page lives in your enablement folder.

  • Click on the folder icon in the left hand navigation panel.

  • In the top left, click on vitals
    Note: This will only be visible to you if you are an administrator on a premier plan.

What are the default settings for vitals configuration?

Out of the box,your configuration page will have two default Vitals:

  • Default Deal Vitals (for opportunity records)

    • Account: Dooly checks to see if the opportunity has an assigned account to it.

    • Amount: Dooly checks if the amount field is blank.

    • Close date: Dooly checks if the close date is in the past.

    • Last Modified Date: Dooly checks the value of this field. If it is longer than 2 weeks we flag that as an issue.

    • Next Step: Dooly checks if the next steps field is blank.

    • Multi-threaded attendees count: Dooly checks your calendar for meetings with 2 or more external attendees this year

    • Number of meetings: Dooly checks if “Meeting Count” is greater than 0 this year, where “Meeting count is anything in the past (linked to note) + one month in the future (based on contacts/meeting attendees)”

  • Default Account Vitals

    • Annual revenue: Dooly checks if the value of this field is blank.

    • Last activity date: Dooly checks the value of this field; if it is not within the last 30 days we flag that as an issue.

    • Number of employees: Dooly checks if the field is blank.

    • Rating: Dooly checks if the Rating field is blank.

    • Multi-threaded attendees count: Dooly checks your calendar for meetings with 2 or more external attendees this year

    • Number of meetings: Dooly checks if “Meeting Count” is greater than 0 this year, where “Meeting count is anything in the past (linked to note) + one month in the future (based on contacts/meeting attendees)”

💡 Pro Tip: the record type for each of the default vital sets will depend on what the default vital is within your orgs SFDC instance.

How do I configure my advanced vital indicators?

You can create a new vital by clicking on the New Vital button in the top right corner of your Vitals page.

  1. Select between the account or opportunity object.

  2. With a basic salesforce instance (no Record Types for account), you will only be able to choose opportunity when selecting Object Type

  3. Click Create

  4. Select which record type your vital will appear on

  5. Select which stage(s) the vital is applicable to

  6. Customize the deal vital indicators

  7. Set the number of vitals needed for each threshold using the slider

  8. Don’t forget to name your vital

💡 Pro Tip: We strongly recommend naming vital based on its configuration; object - record type - stage(s)

How many indicators can each vital set have?

Each vitals set can have up to 8 indicators.

Why can’t I select a Stage?

Why are all the stage checkboxes disabled? You likely have other deal vitals that have selected all available stages. Each stage can only be used once in your vital configuration.

Do I need to make a vital set for each record type and/or stage?

No, creating a vital set for each record type or stage is not required, but it is recommended. Any record that does not have an applicable vital set configured will display as such- “vital not configured” and the vital indicator in the pipeline view will be gray.

How do I preview my vital indicators?

To preview a vital set:

  1. Ensure that you have expanded the specific vital on the left

  2. Click preview a deal

  3. Select an object record from the drop down (search for an account or opportunity)

  4. Once selected, the example “Vitals at a glance” box will appear

What objects have vitals configured?

Currently, you are able to configure vitals for opportunity and account objects.

Can I reorder my vital sets?

Not currently; they will display in the order that the custom list is created.

I’ve configured my vitals, now where are they in Dooly?

Vitals are displayed on pipeline view pages, in account Record Overview, and in DealSpace.

  • Vitals on the pipeline page: Each record will only apply to one Vital at a time (because stages + record type are unique to a vital). In the pipeline, the vital that applies to the record will be shown in the column.

    • If no vital applies to the record, it will appear as a grey dot.Hovering on the dot tells you what needs to be resolved.

    • The deal vitals are also sortable in the pipeline column.

    • Clicking on Update fields will open the field set drawer with the vitals.

  • Deal Vitals in the top banner of DealSpace: Hovering on the Deal Vitals tells you what items need to be resolved for better deal health (see below).

  • Account vitals widget in top right of account overview: Clicking on black text will highlight the key field it corresponds to.

    • Black text vitals are clickable and will highlight the field in Key fields widget.

    • Grey text has no corresponding key fields to open.

    • Green text are vitals that have been met.

What Vital indicator options are available to me?

Salesforce indicators

Any field in salesforce will show up as an indicator. Each type of field (number, currency, text, etc) will have a standard set of filters available for it (greater than, is blank, etc).

Calendar indicators

Calendar indicators are powered by the integration with google or outlook integration:

  • Meeting count: Meeting vitals are calculated by the number of record meeting notes linked to a (google or outlook) calendar event.

  • Multi-threaded attendees: Multi-threaded attendee vitals are calculated by counting the number of external attendees per (google or outlook) meeting in your selected time-frame. At least one meeting must meet your vital to turn green. This vital does not come out of the box.

How can I delete a vital set?

New vital sets you create can be deleted using the delete button in the bottom right corner of the configuration box. Default deal and account vitals cannot be deleted.
